How the Waitlist Works (And Why It Beats a General List)

Overview

AcuBliss doesn't use a traditional general waitlist β€” and that's intentional. The day-specific waitlist is a fully automated system that fills open appointments without your staff having to call, text, or track anyone manually.

How It Works

The waitlist is organized by day rather than as one long list. When a patient is on the waitlist for a specific day and an opening appears, the system takes over automatically:

  1. The system sends an email and text notification to the first person on that day's waitlist.

  2. If the appointment isn't claimed within 20 minutes, it moves to the second person on the list.

  3. This continues down the list until someone claims the slot β€” no staff involvement needed.

πŸ’‘ Why not a general waitlist? A general list puts the work back on your staff β€” they'd have to scan the list and chase patients one by one. The day-specific approach removes that step entirely.

Adding Patients to the Waitlist

The fastest way to add patients is with the Copy feature:

  1. Click on an existing appointment for the patient.

  2. Hit the Copy button.

  3. Drag and drop the copied appointment onto any day the patient is available β€” you can add them to multiple days at once.

You can also reorder the waitlist at any time to change who gets contacted first when an opening comes up.

Patients Can Add Themselves

Patients can join the waitlist directly from their patient portal by selecting the days and times they want. Encouraging patients to do this takes even more off your team's plate.

Opening Up Extra Hours

If you expand your availability and add new time slots to your schedule, every patient on the waitlist gets notified automatically and can claim those openings right away. No announcements, no manual outreach required.
