Overview:
In cases where a patient wishes to share their pre-purchased package with a spouse or family member, you can do so while keeping accurate notes and billing in the system. The package will always reside on one patient’s chart, but sessions can be recorded for someone else as long as it’s clearly documented.
How to Share a Package Session:
Charge the session on the Package Holder’s Chart
Go to the chart of the patient who owns the package.
Navigate to the Invoices page and hit the "Add invoice" button.
Add the "service charge" ('Followup Acupuncture' for example) to the invoice.
Make a note on the session indicating that it was used for their spouse (e.g., “Session used for husband”).
If needed create a Charge for the Other Person
If you charged the patient who received a treatment, you may adjust their balance to zero. You may adjust the invoice amount to $0.
Or, if unpaid just delete it by editing the invoice and hitting the trash can.
The financial accounting will remain attached to the original package holder, while the clinical record appears under the correct patient.
Patients will be able to view invoices from the patient portal to read the clear notes indicating what happened for future reference.
